Small-business computer readiness: the monthly maintenance checklist

Small businesses often do not need a full IT department, but they do need a monthly rhythm. A little recurring maintenance prevents a lot of panicked emergency work.

1. Backup awareness

• Know where important files live.
• Confirm cloud sync is actually running.
• Know what happens if a laptop is lost or damaged.
• Do not rely on one USB drive as the only backup.

2. Update readiness

• Check Windows Update status.
• Check browser updates.
• Update business-critical apps when downtime is acceptable.
• Document any update errors instead of ignoring them.

3. Startup and performance check

• Review apps that start automatically.
• Check whether storage is near full.
• Ask staff what feels slow or broken.
• Identify computers that may need hardware review.

4. Browser and account hygiene

• Review suspicious browser extensions.
• Reduce notification spam.
• Confirm staff know not to share passwords by email or chat.
• Consider a password manager and MFA for key accounts.

5. AI workflow readiness

AI tools are useful only if staff know what not to paste. A monthly review should include basic rules: no passwords, no private customer records, no regulated data unless the tool and policy allow it.

6. Written monthly note

Keep a simple log: what was checked, what changed, open risks, and what should be fixed next month. This matters more than having a fancy IT dashboard.
